Camper Handbook
Before Camp - Forms & Authorization
At LingoStars, the safety and well-being of your child are our top priorities. By gathering essential details about your child before they attend our programs, we ensure that we are fully prepared to create a safe, nurturing, and enjoyable environment for everyone. This information helps us with safety and emergency preparedness, personalized care, and a smooth and efficient check-in and check-out.
All campers are required to submit an Emergency Contact & Authorization Form prior to the start of camp. Campers will not be allowed to stay if this form is not submitted prior to their camp arrival.
What to Bring (Lunch, Snacks, Water)
Please pack your child a lunch, a snack and a water bottle for the day. These should all be marked with their name.
Please pack a lunch for your child that doesn't need to be refrigerated or heated.
About Allergies
Please avoid sending foods that are common allergens such as nuts or peanut butter. If your child has allergies, please let us know in your Emergency Contact & Release Form.
PLEASE NOTE - During certain weeks, we may introduce food or snacks as part of a thematic activity. We will let you know in advance so that you may prepare your child accordingly (ie send a different snack for them to have).
What if my child forgets a snack or is extra hungry?
We understand it's sometimes difficult to predict how hungry your child will be during the day. Our camp staff will have fresh, organic fruit and vegetables such as apples, bananas, carrots and grapes available should a child need an extra snack. However, please note that we will not necessarily have your child's favorite available.
Will my child get extra water during the day?
Our staff sill encourage children to drink plenty of water, especially while outdoors and during physical movement activities. Children will be able to refill their water bottles brought from home throughout the day.
What Not to Bring to Camp
Please ask your child not to bring valuables or toys to camp, as they might get lost or damaged. If they have something special and fun that fits the theme and they'd like to share with the class, we'd love that! Just know it will be safely stored away soon after.
Clothing, Hats & Outerwear
Sunscreen
Please apply sunscreen prior to your child's arrival at camp. If your child is old enough, they may reapply sunscreen throughout the day as needed. However, please note that staff will not be able to monitor or apply sunscreen for children. We specifically have planned for outdoor activities early in the morning to minimize sun exposure. The playground area is also shaded.
Medications
Parking
The church has ample parking. The building we will be using has a dedicated entrance to the classroom (only to be used by our staff, students and parents). Please be mindful and do not park illegally or in non-parking areas.
Drop-Off and Pick-Up
Every camper will be given a digital card from JoinIt that can be stored and shared via Apple Wallet or Google Wallet. The code on this card will be used to check your child in and out daily. If you are having someone other than the individuals listed on your pick-up forms, you must email us in advance and provide the individual's information including full name, phone number and address. Note that staff may request a photo ID of anyone picking up for security purposes.
We value your child's security and thank you for your cooperation.
Arrival & Check-In
Camp drop-off begins at 8:45am. Parents may walk their children to our dedicated classroom door. Look for a LingoStars sign by our classroom door.
Older children (6+) may be dropped off in the drop-off loop and walk to the classroom on their own. However, parents must ensure that their child has entered the classroom and have been acknowledge by a staff member.
No child should be dropped off in the parking lot on their own. Children must not walk across the parking lot by themselves for safety reasons.
Dismissal & Pick-Up
Starting at 4pm, parents may arrive and pick-up their children at the classroom entrance. Staff member may request your child's digital card if someone new is picking up your child than the person dropping off in the mornings.
Drop-Off & Pick-Up - Inclement Weather
Late Drop-Offs & Early Pick-Ups
Attendance & Tardiness
We highly encourage all parents to arrive on time on a daily basis so that their child gets the best experience.
Unfortunately, if a camper misses camp due to prolonged illness or other event, there are no makeups or refunds. However, if you have a very unique situation, please contact us and we will do our best to find a solution.
Behavior Expectations
At Lingostars, we understand that children have ups and downs—and that’s perfectly okay. Our goal is to create a safe, supportive, and fun environment for all campers. While we approach every situation with compassion and understanding, safety remains our top priority.
If a camper behaves in a way that poses a danger to themselves or others, we reserve the right to remove the child from camp for the remainder of the day. Should this type of behavior occur repeatedly, we may need to take further action, which could include removing the child from the program entirely.
Our team is always happy to work with families to address concerns and find solutions when possible, but maintaining a safe and positive space for everyone comes first.
Illnesses & Camp Incidents
The well-being of all our campers is important. If your child is unwell, has vomited, has a fever or other contagious illness (ie pink-eye, strep throat, etc), please keep your child at home until they are symptom free for at least 24 hours.
If a child becomes unwell during camp, a staff member will contact authorized individuals to pick-up a child as soon as possible. Staff will do their best to accommodate children until a parent arrives.
If a child suffers an injury while at camp (fall, scrape, or such), we will do our best to provide first aid such cleaning the injured area, providing bandages, or ice packs. No medications will be provided. An incident report will also go home with the camper.
If an injury is severe or staff is unsure of its severity, they may call parents or authorized individuals to pick up a camper. In the rare event that an emergency occur, staff will seek help from 911 emergency services immediately if medical treatment is authorized. If medical treatment is not authorized, staff will contact parents and authorized individuals to pick up camper for treatment.
Contacting Staff
Please note that our staff's priority is to engage and supervise campers throughout the day. We will do our best to respond to any emails or text messages during the daytime. However, keep in mind that our priority is to be with the children and not doing administrative work.
If you need to get in touch with our staff during camp hours, the best way to do so is to text us at 305-204-9707. Please allow staff some time to view your message and get back to you.
Unexpected Incidents & Closures
In event of severe weather or unforeseen circumstances, we may be forced to cancel camp days or a complete session. We understand this is inconvenient at best but please understand that there may be circumstances beyond our control and require us to close down. In such rare event, we will contact all families as soon as we can and discuss alternatives (ie re-opening day and time).
Camp Staff
Child-Staff Ratio
We aim to keep a staff-to-child ratio of about 6:1 to ensure every child can participate in conversations. We may adjust the number of staff based on the camp session and the number of students enrolled.
Camper Ages
Our camp welcomes children aged 5 to 8. Some may celebrate summer birthdays and turn a different age during camp. To give each child the attention they need, we group them by age and ability, offering more independence to older kids and extra support to younger ones. Our LingoBuddies system pairs older or native Spanish speakers with younger or non-Spanish speakers to help everyone feel at ease.
Speaking English
It's normal for your child and other campers to speak English with each other. Our staff will actively encourage them to use Spanish as much as possible during camp. All activities are in Spanish, but in emergencies or to comfort children, our staff may use English.
Summer Birthdays
To celebrate your child's birthday at camp, you can send a store-bought treat that is allergen-free and has an ingredient label.
Screens & Technology
We believe that interacting directly with children gives the best results. Sometimes, a short movie clip can help explain a topic better. When fitting, children might enjoy a movie and popcorn day that matches the week's theme.
My Child is Having a Hard Time Adjusting
It's normal for children to feel uncomfortable in new environments and surroundings. This is more common during their first day or two at camp.
Our staff will do our best to make them at ease and to feel comfortable. The best thing you can do as a parent is to encourage your child to stay at camp. The majority of time children will adjust in a few minutes and adjustment will be easier the following day. In the rare event your child is having a particularly hard time, staff may contact parents to pick up the camper. Time permitting, staff will let parents know via text message camper is doing well if they've had a hard time at arrival. However, rest assured that even if staff do not contact you to ensure you that your child is doing fine, your child is doing fine if you are not contacted.
My Child has Zero Spanish Experience
No worries! Most of our students don't speak Spanish either. Our staff uses special methods to help children learn and understand the language. Read about our methodologies here.
How Will I Know What My Child Has Learned
Great question! We aim to keep parents updated on what their children are learning, especially since it might be new to them. We'll send camp updates throughout the week as often as possible, but at least by the end of the week, so you have a complete overview of what your child learned.
How Much Can I Expect My Child to Learn
The key elements of learning a language are frequency, intensity, and native-like exposure. Your child's progress during camp will depend on their personality, age, and prior experience with Spanish. Initially, children focus on understanding, and we expect them to feel comfortable in just a few days. The more days they attend, the quicker they will learn. Discover more about the stages of language learning here.
